WhatsApp CRM vs WhatsApp Business

WhatsApp Business and a WhatsApp CRM often get talked about as if they compete, but they're not really solving the same problem. WhatsApp Business (the free app) is a messaging client for one phone. A WhatsApp CRM is a system for a team. Here's where the free app actually stops working as a business grows.
What WhatsApp Business (the app) gives you
The free app is a real product, not a stripped-down demo: a business profile, catalog, labels, quick replies, and basic away messages. It's built for a single owner-operator answering their own chats from their own phone, and for that use case it works well.
Where it hits a wall
- One device, or a few linked ones at best. There's no real shared-inbox experience — everyone touching the account is looking at the same phone's chat list, not working from separate logins with their own view.
- No contact record beyond the chat. Labels help sort conversations, but there's no lifecycle stage, lead score, or custom field attached to a contact that survives independently of the thread.
- No campaign tracking. You can broadcast to a list of contacts who have your number saved, but there's no delivery/read/reply reporting per send, and it doesn't scale past a small list.
- No automation beyond a fixed away message. There's no way to build a multi-step flow, let alone train something to answer from your own FAQs and policies.
- No official path to grow without eventually connecting to the Business Platform anyway — which is exactly what a WhatsApp CRM does on your behalf.
What a WhatsApp CRM adds, concretely
A WhatsApp CRM like Wovara connects your number to the WhatsApp Business Platform (Meta's official Cloud API infrastructure) and puts a shared inbox, contact database, template manager, campaign tool and automation layer on top of it. Multiple team members log in separately, see the same conversations, and leave internal notes without the customer seeing them. Contacts carry tags, custom fields and a pipeline stage that outlives any single conversation.
You don't have to give up your number to get there
The part that surprises most people: switching doesn't mean starting over with a new number. Meta's Embedded Signup supports what it calls coexistence — you connect your existing number, already active in the WhatsApp Business app, and it keeps working in that app while the CRM's Cloud API connection runs alongside it. Nothing about the number changes; what changes is who and what can touch the conversations happening on it.
Which one you actually need
If it's genuinely one person, answering from one phone, with a small enough contact list to remember who's who, the free app is not something to feel bad about using. The switch makes sense the moment a second person needs to reply, or the business needs to know something about a contact that the chat thread alone doesn't capture.
