There's no shortage of tools calling themselves a "WhatsApp CRM" now, and the category covers everything from a thin chat widget to a full sales platform. Here's what actually differentiates them, and what to check before committing your business number to one.

Is it built on the official WhatsApp Business Platform?

This is the first and most important filter. Tools built on Meta's official Cloud API connect through an authorised flow (Embedded Signup) and keep your business as the account owner. Some cheaper or "unofficial" tools instead rely on browser automation or unofficial libraries that impersonate the WhatsApp Web client — which violates WhatsApp's terms and carries a real risk of the number being banned with no appeal. If a tool doesn't mention Meta, the Cloud API, or Embedded Signup anywhere in how it connects, ask directly before trusting a business number to it.

Shared inbox features that actually matter day to day

Look past the screenshot and check: can multiple agents work simultaneously without stepping on each other, can conversations be assigned and marked resolved, are there internal notes invisible to the customer, and does it show conversation history and contact details side by side rather than in separate tabs.

How templates and approval are handled

Every WhatsApp Business tool has to submit message templates to Meta for approval before they can be used outside the 24-hour reply window. What varies is whether the tool tracks approval status clearly, offers a starting library of common templates, and makes resubmission after a rejection painless rather than a support ticket.

What kind of automation is actually on offer

Automation ranges widely: a fixed keyword-triggered menu (deterministic — the same input always produces the same reply) is very different from an AI agent that generates its own responses from your business content. Ask specifically which one a vendor means when they say "automation" or "chatbot" — the two solve different problems and usually have very different pricing.

Pricing structure, not just the sticker price

WhatsApp CRM pricing usually has at least two layers: a monthly platform fee, and a per-message or per-conversation cost that Meta itself charges (this exists regardless of which tool you use, since it's WhatsApp's own conversation-based pricing).
